2230, Appointed Board Officials

The Board of Education, at its Annual Reorganizational Meeting, will act to appoint a Clerk, by majority vote, for a term of one (1) year, or until a successor is elected and sworn. The Superintendent of Schools will serve as the Clerk’s immediate supervisor.

The Clerk of the School District will act as secretary to the Board and will perform all duties set forth in the New York State Education Law. The Clerk will also:

  1. Maintain all Board minutes, records and correspondence, and will index and catalog minutes and place them in proper binders
  2. Maintain regular office hours at the District offices, attend such meetings as required by Board
  3. Prepare materials for all regular and special meetings of the Board, and keep accurate record of said meetings in minutes.
  4. Organize and administer all aspects of regular and special School District referendums and elections in accordance with legal requirements
    1. Select and recommend for Board approval assistant clerks and election inspectors
    2. Instruct all election personnel and data processing employees in proper election procedures
    3. Arrange with Albany County Board of Elections for voting machines
    4. Finalize records after each election
  5. Either the District Clerk, or Board President may administer the oath of office
  6. Execute all legal notices and advertisements
  7. Answer routine letters and phone calls concerning Board meetings, Board business and North Colonie School District boundary lines
  8. Attend to special reports and research as assigned by the Board
  9. Maintain the Board Policy Manual
  10. Serve as the District Records Access Officer
  11. Perform such other duties as may be assigned

Duties of the Treasurer

The Board, at its Annual Reorganizational Meeting, will act to appoint a Treasurer, by majority vote, for a term of one (1) year, or until a successor is elected and sworn. The District Treasurer will:

  1. Act as custodian of all monies belonging to the District
  2. Receive all monies belonging to the District and issue receipt for same
  3. Pay out District monies on written order of officers of the Board
  4. Provide detailed accounts of monies received and disbursed
  5. Sign all District checks
  6. Sign all bonds issued by the District
