Privileges
Minutes of the Meetings
Take minutes, type them up and
distribute them electronically for approval from the other
board members. Once approved, distribute them and send them
to Athletic Director so he can send them to the Booster Club
Website. Also, print out copies to distribute them at next
meeting (for those you might not have gotten them
electronically).
Athlete of the Week Awards
Once a week, Coach Statlander will send you two athletes of
the week along with their home address. Send them a
congratulatory letter from the SHS AS Booster Club Board.
They go on SHS letterhead and you can get envelopes from
Barb Callahan in the Athletic Office. You bring them to the
A/D office for postage and mailing. Barb will take care of
that.
Other Sports Related Awards/Scholarships
On a regular basis, check the Athletics website for any
sports related awards or Division 1 scholarships that might
be granted. Send Barb Callahan a note asking her for the
recipient’s address and send them a congratulatory letter.
Miscellaneous Correspondence
Secretary is responsible for any other correspondence that
may be needed, i.e., thank you letters, vendor letters, etc.
Football Concession
Manager
The football manager’s job begins around
mid-August. At that time, he/she must inspect the concession
stand to determine if it needs to be cleaned, and if it does
the manager must find volunteers to clean and prepare it for
the season. At that time, the manager should determine what
products and supplies are in the stand and then provide this
information to the buyers.
Prior to the season, and then each week,
the manager must check the propane tank levels and make sure
an extra full tank is available in case the one being used
runs out during a game. The manager must also refill the
tank and give the receipt to the treasurer for reimbursement
when it does run out.
This manager is responsible for finding
enough volunteers to work at the concession stand at all
football games. Varsity games should have about 10 workers
on a regular game night and about 14 for homecoming. The JV
games will require 2-4 workers. You will need early set up
(varsity) from about 5:15pm until the end of the game and
clean up (about 9:30). When you set up, you must go to the
indoor stand, bring down the blue candy cart being sure the
cart is fully stocked and there is back up so when it gets
busy you do not have to go back up and get more product.
Don’t forget to get the chocolate out of the refrigerator.
The manager must bring down the nacho
cheese machine, extra cheese, and the chips. At this time
you will also need to begin the coffee, if selling popcorn,
fill those bags and get ready for the first pizza delivery.
If at any point you run low of pizza, or have a fair amount
left over, please call the vending buyer to either cancel an
order or call in a new order. At the end of the game you
need to return all these items to the indoor stand making
sure you restock the blue cart before leaving. Also, the
closing people will also need to count the money drawer,
fill out the slip and drop it into the safe. There always
needs to be two people for counting purposes.
Indoor Concession Manager
The indoor concession manager’s job
begins around late August. He/she will inspect the
concession stand and if there is any product left over in
the cooler, the manager will pull those out and put them to
the front. It is the manager's responsibility to ensure the
cooler is completely stocked with drinks for the start of
the school year.
At that time, and every week during the
school year, the manager must be sure there is extra product
in the stand for the daily workers to refill what is used in
the coolers each day. There should be at least on extra case
of every drink offered in the stand for refill. (double of
the higher selling items).
The manager must also make sure the room
is not cluttered and has ample walking room. If the manager
is made aware of out-of-stock items, he/she must then inform
the buyers. The manager must contact the Athletic Office for
a list of teams assigned to work the concession stand each
week, and he/she must call the head coach of that team to
remind them of their concession stand duty dates. This will
occur during the entire school year. As the year slows down,
the workers will be informed not to totally fill the coolers
as we do not want a lot of product left in the indoor
coolers over the summer.
Picture Co-coordinators
The picture co-coordinator makes sure
each coach in every season has the picture order form and
knows the time of their team picture. This person then
collects all orders, organizes them and makes contact with
our photographer. Once pictures are in, it is this person’s
duty to be sure each team's head coach receives their filled
picture order. All money is sent to the treasurer for
deposit and payment to the photographer.
Stockers
The stockers are in charge of stocking
coolers for each football game, basketball game, gymnastics
meet, track meet, and soccer or lacrosse match where the
stands will be open. This is for the outdoor football stand
or the inside basketball and gymnastics stands.
The stocker will be given a list of game
dates and times by one of the board members so that they may
fill the coolers accordingly. They may also look on the
www.highschoolsports.net website for all Shaker
functions. Changes in schedules will be made known to these
people (esp. additions to the schedule).
During the football season, the buyers
will have product delivered to the football stand, however
if there is not enough drinks at the destinations, it is the
responsibility of the stockers to go to the cage and get the
needed supplies in order to complete the job. At the end of
each season (i.e. football, basketball) it is their
responsibility to bring the remaining product back up to the
cage or fill the next set of cooers for the next season.
There may be a few dates later in the spring for other
sports that will require some filling of coolers, however
most to this job is completed after basketball season ends.
